For external collaboration, the same rules as for e-mailing documents or sharing them via portable media apply. For all types of sharing, always be sure that the recipient is under contractual obligation to keep any proprietary information confidential and to comply with applicable export control laws.
We need to be particularly mindful of the parameters for sharing intellectual property owned by others (see EPRI’s Protection of Intellectual Property Policy), and EPRI’s export control requirements (see EPRI’s Export Control Policy and Deemed Export ‘Inter-Sector Collaboration’ Guidelines).
We also need to follow the sharing parameters and marking requirements for sensitive energy information and personal identifiable information (see Protection of Personal and Sensitive Energy Information Policy).
The proper way to transfer deliverables is through the Member Center, where proper entitlement controls are kept. Box should not be used to transfer deliverables to members, unless an exception has been approved pursuant to the Deliverables Policy exception approval process.
The final and official repository for project documents is the Enterprise Content Management system. ECM is the central library of official documents for EPRI. Box can be used for working documents in the same manner as documents that would be stored on your laptop.
